1 About this privacy code
This privacy code provides an overview of how we comply with data protection legislation to protect the rights of the individuals we deal with. It sets out:

2 Who we are and what we do
One North East is the Regional Development Agency for the North East of England, covering Northumberland, Tyne & Wear, Durham and the Tees Valley (the ‘Region’). Our contact details are set out on the front page of our website (onenortheast.co.uk). Our activities are particularly wide-ranging but may be summed up in our five main statutory purposes:
1. To further economic development and the regeneration of the Region;
2. To promote business efficiency, investment and competitiveness in the Region;
3. To generate employment;
4. To encourage and enhance the development and application of relevant work skills of the people living here; and in doing so...
5. To contribute to the overall sustainability of the economy in the UK as a whole.
We mainly need personal information so that we can provide grant funding and to introduce businesses to each other. You can find out more about us, and our role in the Region, including copies of our Regional Economic Strategy and our Corporate Plan, on our website.
3 How we collect personal information
3.1 Through completion of online forms on our website - We collect information about you when you register to attend the boom! North East Engineering Show. We collect information about you if you complete any of the various forms on our site to contact us, make enquiries, apply to us, respond to surveys or give us feedback. We need you to give us certain information, which will be indicated on the form. It would help us if you give us any other information we ask for that you think might be relevant but you are under no obligation to do so.
3.3 Through web site statistics - We do keep a record of traffic data which is logged automatically by our server, such as your IP address, the URL you visited before ours, the URL you visit after leaving our site and which pages you visit. We also collect some site statistics such as page hits and page views. We are not readily able to identify any individual from traffic data or site statistics.
3.4 By you contacting us by other methods other than the website - The website provides various telephone and fax numbers and email addresses for you to contact us. We will collect information from you through any of these methods. We may also collect other information you supply to us after your initial contact with us.
4 What personal information we collect, and why
4.1 The information we collect about you will depend on the nature of your business with us but will be used in one or more of five ways: to register you for the boom! North East Engineering Show; to contact you regarding an enquiry about the event; to contact you after you submit an expression of interest in sponsoring or exhibiting; to send you information regarding your registration; to send you information about the event. Here is a brief description of the information we collect and how we use it.
In order to provide you with relevant content, control circulation of services and related information, for usage analysis and to process any booking you may make through this website and to ensure that any event registration runs smoothly and meets your requirements, it is necessary to request the information provided in the forms on the boomnortheast.co.uk site. One North East acting as the Data Controller, is responsible for ensuring that the information you provide to us and that we in turn provide to our partners and affiliates is protected and secure.
One North East have appointed Fawthrop McLanders to be their Data Processor. As Data Processor they have designed and developed the forms on the boomnortheast.co.uk site where users of the site can enter personal data. This involves managing the safe process of data gathering and storage of information for One North East and Fawthrop McLanders to use for purposes such as: registering individuals for their attendance at the boom! North East Engineering Show event; contacting sponsors and exhibitors; answering any queries submitted on the site and communicating the event as a whole as necessary.
4.2 Any information which you submit to us may be stored by Fawthrop McLanders and/or One North East in full accordance with the aims and scrutiny stated above. We will always provide easy access to our Privacy Code (this document) which will always be current, correct and readily available. If you wish to unsubscribe from any of our services you can do so by contacting us directly through any of the channels provided at the end of this document. Some information we collect is obligatory and some information voluntary. Where obligatory information is deemed to be of a “sensitive” nature, you will clearly be informed of the reason for the required details and asked for consent for its storage and use.
5 How we safeguard personal information
We recognise that you retain rights in the personal information we hold about you. We will keep that information secure, and use it only for specific legitimate purposes.
5.1 We have obligations to keep personal information secure, which we take seriously - We will keep personal information secure by taking appropriate technical and staff measures against the unauthorised or unlawful processing of that information and against its accidental loss, destruction or damage.
We take steps to ensure the personal information we have is high quality. However we cannot do this without your help! So please ensure you give us accurate information, tell us as soon as possible of any changes, and tell us as soon as possible if you notice mistakes in the information we hold about you as this helps us to keep our information reliable and up-to-date.
5.2 We keep confidential information confidential - Please note that under a freedom of information code of practice, we are not permitted to class as “confidential” information that is not actually confidential in reality, even if it is marked confidential. However in respect of any information we receive from you that is truly confidential, we will take steps to ensure it remains confidential. Unauthorised disclosure or misuse of personal information by staff will lead to disciplinary action.
5.3 We review our policies and audit our procedures regularly - We review this code and our other data protection policies regularly to make sure they are appropriate and up to date. We also carry out regular audits to monitor our security policies and procedures and revise them if necessary.
6 With whom we share personal information, and why
One North East and all subsidiary companies are the sole owner of your personal information, and we will not sell, share or transfer this information without your specific consent. If we should acquire any of your details from other sources, we will seek guarantees from the provider that consent has been given by you for their sale. We may, from time-to-time, decide to make public, disclose or sell anonymous, statistical information gained from analysis of a significant sample of our database.
If you’re a company exhibiting or participating as a sponsor, we will use your data to contact you regarding the details and arrangements of the event. From 1 January 2005, we may be required to disclose information about your business in response to an access request under the Freedom of Information Act 2000, unless an exemption applies.
7 How we handle transfers of personal information to countries outside Europe
7.1 It will not be necessary to transfer personal information to countries outside Europe that is collected on the boomnortheast.co.uk website
8 Your rights under data protection legislation
You have various rights. You are most likely to want to exercise the following ones.
Your right to see a copy of the information we hold about you, on payment of a statutory fee which is currently £10. Before we agree to this, you must provide with sufficient evidence of your identity and sufficient details of the information you wish to see to enable us to locate it. If you would like to see a copy of the information we hold about you, please contact the webmaster at ruth@if-fma.com.
Your right to be removed from our mailing lists. Instructions on how to stop further mailings will usually be contained in any direct marketing material we send you. Otherwise please contact our Data Protection Officer.
Your right to correct any errors in information we hold about you, and to change or correct any details you have already given us. Please inform us about changes to your details so that we can keep our records accurate and up to date.

9 How to make a complaint
Any complaints about our handling of personal information should be addressed to Head of Legal Services, at the address on the homepage. If your complaint relates to the handling of your personal information by an organisation with which we share information, then please let us know that. We aim to respond to your complaint within 20 days of receiving it. You have a right of appeal in relation to any decision we make, which we will tell you about when we respond to your complaint. We will always review our policy and procedure in line with any justified complaints.

10.1 Data Protection Officer - If you want to know more about what information we have about you, or the way we use your information, you can contact our Data Protection Officer.
10.2 Data Protection Register - When we ask you for information, we will comply with the law, including the Data Protection Act 1998. We are a data controller for the purposes of that Act. Our entry in the register of data controllers is Z8473392. In brief, our register entry describes:
• the personal information processed by us or on our behalf and the category or categories of individuals to which they relate
• the purpose or purposes for which personal information is processed
• the recipients to whom we intend to disclose personal information, and
• any countries or territories outside the European Economic Area to which we transfer personal information.
